Frequently Asked Questions

What is the Estimated Time Frame to Begin ABA Services?

Once we receive the necessary documentation from your doctor’s office and/or insurance provider, we’ll begin the intake process. Central Coast ABA will provide caregivers with our intake forms to complete. After the forms are returned and insurance coverage for ABA services is verified, we’ll schedule the assessment.

Assessments are typically scheduled within 10 days of receiving authorization from your insurance. The assessment process takes approximately 2–4 weeks to complete and submit for review. Most insurance providers require about two weeks to approve services.

Please note that scheduling for services depends on staff availability, the child’s availability, and their location. We also have a high demand for afternoon sessions and currently maintain an extensive waitlist for those time slots.

Once services are authorized, Central Coast ABA will contact you to finalize your child’s therapy schedule and confirm a start date.

How often do we hear from your company when we are on the waitlist? 

You should get an update every 10 days from our scheduling team.

My child has been on the waitlist for awhile, what happens when their authorization is up? Do they need another assessment?

No, they do not need a new evaluation done. Typically, we can request an extension in the authorization for another 2 months. Our goal is to have services started before this, but it will depend on your availability and our staff availability. The only time a new evaluation is needed is if you have been on hold for a couple of years (this is not very common) as many things can change during that long of a period. 

Can I prioritize my child’s ABA services over attending a full day of school due to our availability?

School is legally mandatory once a child turns 6 years old and a child with an intensive, recommended ABA schedule (30 hours per week vs 10 hours) may have medical necessity for them to miss some school to receive ABA services. A doctor’s note would be required from your child’s pediatrician and submitted to the school for approval. While this may be necessary for some children, we do not recommend missing more than 1 hour a day of school to accommodate ABA services due to the benefits of peer exposure and classroom learning for every child.

Can we change session times when my son/daughter is out of school for winter/spring/summer break?

Session times will not change during breaks in school due to our staff members having other cases or preparing for an incoming case that would need that other time slot.

Can we attend IEPs?

Yes, we can attends IEPs.

My child is homeschooled, does this affect direct sessions at all?

No this does not affect direct services. While we cannot be the ones to teach them or be responsible for their work given through the homeschooling program, we can assist you with any behaviors that occur during these times. The therapist can work with you directly and help give strategies on how to sustain their attention, remain seated, follow directions, etc.

Can they have community outings?

Yes, we can do community outings after rapport has been built and the clinical team has identified medical necessary goals to work on. These outings do not typically occur right away due to safety of client and staff, but will eventually occur after a few months.

How do I report that my child has allergies?

Please let us know if you, your child, or someone else in the home is allergic to any specific dander, scents, or food. We will make sure to communicate this with our staff so they do not bring these allergens into the home.

What happens when technicians cancel

We try and identify a sub to come out, if possible, otherwise make up sessions can occur or time can be added each day to make up the time.

Does the same therapist come every time?

Yes, we have our therapists on a consistent schedule for each child, but there are circumstances when this changes such as someone is subbing due to sickness or vacation time from the therapist, or there is a therapist switch.

We have security cameras in our home, but don’t watch them.

Per the intake packet that was signed upon beginning services, ABA sessions are not allowed to be filmed or live-streamed. If you would like to observe session, we implore you to join the session and watch how the technician implements programs.
